Location: Neenah, WI | Payrate: $19 - $21 | Schedule : 1st shift 8am to 5pm

We’re looking for a detail-driven Department Assistant to provide essential administrative and coordination support to our Fabrication and Quality Fabrication departments. In this high-impact role, your work will help keep projects on track, teams aligned, and quality uncompromised.
What You’ll Be Doing
As a Department Assistant, you’ll wear many hats—communicator, organizer, quality gatekeeper, and problem-solver. You’ll be at the center of operations, ensuring nothing falls through the cracks. Your responsibilities include:
Coordinating department communication and facilitating the flow of accurate information across teams
Managing department databases for welder and inspector qualifications, non-destructive testing reports, and project documentation
Reviewing and uploading quality control inspection records and drawing packages
Working closely with 3rd party subcontractors to obtain service reports and complete project turnover packages
Supporting quality documentation efforts, including ASME and Canadian code form preparation (P4, U1, TSASK, ABSA, etc.)
Monitoring deadlines and milestones, preparing progress reports, and tracking departmental action items
Organizing department events, training sessions, orientations, and internal meetings
Ensuring confidential and sensitive information is handled with discretion and professionalism
Supporting the coordination of operational resources, workspace assignments, and supply ordering
Acting as the go-to problem-solver for internal process issues and documentation requests
What You’ll Need to Succeed
Required Qualifications
High School Diploma or equivalent
Minimum 3 years of administrative/clerical experience in a technical, construction, or industrial setting
Proficiency in Microsoft Office Suite—especially Excel, Word, Access, and PowerPoint
Strong organizational and multitasking skills
Excellent verbal and written communication abilities
Ability to work independently and meet deadlines
Comfortable handling sensitive information and acting with professionalism
Preferred Qualifications
Familiarity with fabrication or construction project workflows
Experience managing technical documentation or working with QA/QC teams
Knowledge of industry codes and compliance forms (ASME, Canadian jurisdictional requirements)

Pay Details: $19.00 to $21.00 per hour
